POLICIES AND PROCEDURES

At Sharks Volleyball, we are committed to providing high-quality athlete training and development programs and events.

Our policies exist so every family knows what to expect from us clear, fair and consistent, the same standard we hold our athletes to on the court.

They're designed to protect the trust between us, and we're always happy to talk through how any of the following applies to your situation.

Cancellations, Credits and Refunds Policy

This policy sets out what happens if a session, event or program cannot go ahead as planned, and what applies if you or your child are unable to attend or choose to withdraw. It should be read together with our Terms and Conditions and Privacy Policy.

Our services come with guarantees that cannot be excluded under the Australian Consumer Law. Nothing in this policy limits, excludes or restricts those guarantees, or any other right you have under the Australian Consumer Law.

1. If Sharks Volleyball cancels or reschedules a session

This section applies whenever Sharks Volleyball is unable to run a paid session as scheduled, for any reason, including venue unavailability, weather, coach illness, or other circumstances beyond our control.

  • We will first try to reschedule the session, or offer an equivalent session, at no extra cost. This is our preferred solution, and once it happens within a reasonable time, nothing further is owed.

  • If rescheduling isn't possible, we will proactively issue a credit calculated pro rata (the program fee divided by the number of sessions in the program).

  • If you are unable to apply any credit to a suitable Sharks Volleyball training program, then please contact info@sharksvolleyball.com to request a review of your situation.

  • This applies regardless of the cause, including where the venue becomes unavailable to us, or other circumstances outside our control.

2. If you or your child are unable to attend, or choose not to attend

This section covers situations where Sharks Volleyball is ready and able to run the session as planned, but you or your child cannot attend, or you decide not to continue.

2.1 Injury
If your child is injured and unable to attend, you may be eligible for a partial refund on provision of a medical certificate. An administration fee of 15 to 20 percent (inclusive of GST) applies to refunds issued under this clause. At our discretion, we may offer a full credit instead of a refund.

2.2 Illness, travel or other personal reasons
If your child is unable to attend for at least 3 consecutive weeks due to illness, travel or another personal reason, you may request a credit toward a future program. Requests must be emailed to info@sharksvolleyball.com and are approved at our discretion. Credits are not transferable to another individual.

2.3 Change of mind
If you change your mind about attending a program you've registered for, no credit or refund obligation applies.

2.4 Failure to attend
If your child does not attend a session or program they are registered for, without notice, no credit or refund obligation applies.

2.5 Late cancellation
If you cancel a session with less than 48 hours' notice before its scheduled start time, the fee for that individual session is forfeited. A credit for the program's remaining, undelivered sessions will be issued, calculated pro rata (the program fee divided by the number of sessions in the program, multiplied by the sessions remaining), consistent with the pro rata approach in sections 1 and 5.

2.6 Missed individual sessions
Make-up sessions are not offered for an occasional session missed by a participant while otherwise attending a program. If Sharks Volleyball is unable to run a session because a venue becomes unavailable to us, section 1 applies instead.

2.7 Conduct
If a participant or family member engages in conduct we reasonably consider to be defamation, harassment, bullying, or seriously disrespectful behaviour toward staff, coaches or other participants, we may end that participant's involvement in a program. No credit or refund obligation applies for the remaining sessions in that program. This does not affect any right under section 1 for a session Sharks Volleyball itself failed to deliver before the participant's involvement ended.

3. Trial sessions
If you pay for a trial session and then register for the remainder of that program, the trial session fee is not deducted from your enrolment fee. Only one trial session is permitted per participant.

4. Joining a term already in progress
If you register for a term-based program after it has started, pro rata pricing is available from the start of Week 4 of the term, based on the number of sessions remaining and subject to venue availability. If you register during Weeks 1 to 3 of the term, the full term price applies.

5. Withdrawing from a program already in progress
If you wish to withdraw from a term-based program after it has started, we will issue a credit toward a future program for the sessions you have not yet attended, calculated pro rata (the program fee divided by the number of sessions in the program, multiplied by the sessions remaining). Withdrawal requests must be emailed to info@sharksvolleyball.com. This clause applies where you choose to withdraw. If Sharks Volleyball cancels a session, section 1 applies instead.

6. Pricing
All Sharks Volleyball Programs may be subject to price changes. The price shown to you during registration is the price you will be charged for that program, with no further increases once you are registered. Prices shown elsewhere may be out of date by the time you register for a new program.

7. Participation, supervision and injury

Supervision is provided on site for the scheduled duration of a program or activity. Sharks Volleyball is not responsible for a participant who arrives before, or remains after, scheduled session times.

Volleyball and related physical activity carry an inherent risk of injury. By registering, you acknowledge this risk on behalf of yourself and your child.

Please be aware that Sharks Volleyball does not hold personal injury insurance for participants. All participants are responsible for their own medical or other related expenses resulting from injury or illness incurred while participating in our programs.

8. Permission and authorisation
All registrations must be completed and authorised by a parent or guardian, except for participants aged 18 years or older, who may register themselves.

9. Changes to this policy
We may update this policy from time to time at our discretion. Updates apply to registrations made after the update date, and do not reduce any right or remedy you already have under this policy or under the Australian Consumer Law for a program you registered for before the update.

Medical Release and Authorisation Disclaimer

Medical Release and Authorisation
As Parent and/or Guardian of the named athlete, I hereby authorise the diagnosis and treatment by a qualified and licensed medical professional, of the named athlete, in the event of a medical emergency, which in the opinion of the attending medical professional, requires immediate attention to prevent further endangerment of the minor’s life, physical disfigurement, physical impairment, or other undue pain, suffering or discomfort, if delayed.

Permission is hereby granted to the attending physician to proceed with any medical or minor surgical treatment, x-ray examination and immunisations for the named athlete. In the event of an emergency arising out of serious illness, the need for major surgery, or significant accidental injury, I understand that every attempt will be made by the attending physician to contact me in the most expeditious way possible. This authorisation is granted only after a reasonable effort has been made to reach me.

Permission is also granted to the SVA Corporation Pty Ltd ABN 60 661 547 744 (Sharks Volleyball) and its affiliates including Directors, Coaches, and Team Parents to provide the needed emergency treatment prior to the named athletes admission to the medical facility.

Release authorised on the dates and/or duration of the registered season.

In the event that the named athlete is over the age of 18, the above waivers apply and the athlete gives consent and authorises all of the above. They also acknowledge that their execution constitutes the formal release of all liability from Sharks Volleyball in this matter and that they are sufficient to sign on their own behalf if required, as may be the case in this instance.

This release is authorised and executed of my own free will, with the sole purpose of authorising medical treatment under emergency circumstances, for the protection of life and limb of the named athlete, in my absence or inability to provide direction.

I understand that this payment acts as an upfront down payment for all sessions over the specified duration and therefore cannot be refunded without adequate cause.

Privacy Policy

Sharks Volleyball (“we,” “our,” or “us”) values your trust and is committed to protecting your personal information. Because many of our programs involve children, we take privacy especially seriously. This policy explains how we collect, use, and safeguard information about parents, guardians, and children who participate in our programs.

1. Information We Collect

We may collect information when you or your child:

  • Register for programs, events, or memberships.

  • Complete forms through our website, apps, or social media.

  • Contact us by phone, email, or in person.

This may include:

  • Parent/guardian contact details (name, phone, email).

  • Child participant details (name, age, date of birth).

  • Emergency contact information.

  • Payment and billing details (processed securely by third-party providers).

  • Non-identifying website and advertising data collected through cookies, pixels, or similar technologies.

2. How We Use Information

We use personal information only for purposes related to running our programs, including to:

  • Register and manage participants in volleyball sessions and events.

  • Communicate with parents/guardians about scheduling, program updates, and important information.

  • Ensure the health, safety, and wellbeing of participants.

  • Process payments and manage memberships.

  • Improve our services and website.

  • Run and measure advertising campaigns, including remarketing through platforms like Facebook and Google.

3. Children’s Privacy

  • We only collect children’s information necessary to deliver our programs safely.

  • We require that parents or legal guardians provide consent when registering a child.

  • We do not use children’s information for direct marketing purposes.

  • If you believe we have collected a child’s information without proper consent, please contact us immediately and we will delete it.

4. Advertising & Cookies

Our website and ads may use cookies and tracking technologies (such as Facebook Pixel) to:

  • Measure website traffic and advertising performance.

  • Deliver more relevant ads to parents and guardians.

These technologies are not used to directly target children. You can adjust your browser or social media settings to control how cookies and ads are managed.

5. Sharing of Information

We do not sell personal information. We may share limited data with trusted service providers (such as payment processors, booking platforms, and communication tools) strictly for the purpose of operating our programs.

6. Your Rights & Choices

Parents and guardians have the right to:

  • Access and update their personal information.

  • Request deletion of their or their child’s information, subject to program or legal requirements.

  • Opt out of marketing communications.

We take reasonable steps to protect personal information through secure systems and restricted access. However, no online transmission is 100% secure, and we cannot guarantee absolute security.
